of Our Services
Information
systems is a rather broad term that refers to a combination of
the hardware, software, and people used to gather, manage, and
retrieve data. In other words, your network, your computers, the
software that runs on the computers, and the people that use the
computers are part of an information system.
What do we
mean when we say one of our services is information systems? It
means we take an integrated and inclusive view of your business.
We look at the human equation as well as hardware and software
considerations. We recognize that adding a new application or
capability can positively or negatively impact other areas of
your business. We strive to ensure that changes to your environment
are intelligently managed, and properly integrated into your workflow.

Today, an
email system is more than just email. Email systems have evolved
into "GroupWare" or "Collaboration Systems".
These systems allow you to manage and share calendars, contacts,
appointments, and tasks. Modern email systems can be used to quickly
schedule meetings, keep audit trails of activities and actions,
coordinate projects across an organization, and maintain interactive
dialogues between people, organizations, and teams.
We can help
you establish an email system that will give your organization
a whole new level of communication efficiency both internally,
and with your customers. Scheduling meetings with groups of people
can take minutes instead of days. People’s schedules and availability
can be readily accessible. Supervisors can assign employees tasks
and view their progress almost instantaneously. Lists of Contacts
can be easily shared and centrally maintained.

It has become
easier than ever to create and save large amounts of electronic
information. The real challenge is the ability to find information
quickly and efficiently. Most companies waste hundreds if not
thousands of employee hours a year looking for documents, email
messages, spreadsheets, and other data that has been saved someplace
on a network or computer.
In today’s
networked environments, it is easy for employees to save documents
almost anywhere. Most companies do not have any effective or enforceable
rules in place to ensure that documents end up in the right place.
As a result, each person in an organization tends to have his
or her own unique "filing system". When a person is
absent or away from the office his or her work becomes unavailable,
since nobody else knows where he or she keep things.
We can help
you create a strong organizational model for managing your electronic
documents that includes: creating centralized locations for document
storage, establishing consistent rules for document names, managing
document version control and migrating paper documents into electronic
format.

Today’s off-the-shelf
business software is very powerful, and affordable. It is also
very generic, and strives to be all things to all people. Off-the-shelf
software was not developed with your business in mind, and while
it probably does a lot of things you like, it probably has some
very frustrating limitations as well.
Off-the-shelf
contact management systems do not make great invoicing systems.
Invoicing systems do not track customer service, and so on. Even
more frustrating is the frequent lack of communication between
your accounting system, your contact management, and other software
applications that you may have purchased. You probably find yourself
entering the same information over and over again in different
applications. Even worse, a customer record in your contact management
system may have a completely different address or phone number
than the same customer in your invoicing system. Which record
is correct?
Most off-the-shelf
programs were not specifically designed to share information with
each other. This limits your ability to retrieve valuable information
that is formed from the relationships between different functions
such as contact management, invoicing, and customer service. Can
you forecast sales, or estimate the cost in time and money it
took to make a sale? How easy is it to generate a quote or compare
quotes? How much money are you spending to retain customers? How
often do customers call and what are they calling about? How often
are you calling your customers? We have designed custom databases
to answer these questions and can design a custom database to
answer those questions that are critical to your business.
A custom database
does not have to cost hundreds of thousands of dollars and/or
take years to complete. We can start small and work fast to help
you achieve certain key goals, while ensuring that the database
we develop is open and easily expandable at a later time.
Not every
company needs a custom database, but if you are frustrated by
the limitations of off-the-shelf products, and would like a solution
tailored specifically to your business, we can help.

computers networked is critical in today’s business environment.
A reliable network is the backbone of almost everything else you

of people across a wide geography, we offer a full range of network
services. From installing a small, affordable network in your

While PropHeads
is not an Internet service provider, we can help you make the
right decisions about obtaining, or improving your access to the
Internet.
Connecting
a single computer to the Internet is easy. Connecting your entire
office to the Internet can be a bit more challenging. How do you
make sure your computers are safe from unauthorized access? How
do you ensure your employees are using the Internet efficiently?
What is the most cost-effective way of getting connected to the
Internet? How fast a connection do you need? We can work with
you to address all of these questions and help you come up with
a solution that meets your needs, and your budget.

productive would your company be if you could access your business
systems from outside of the office. Would you like to be able

on your company server? How about working from home? . Everything
you can do from your computer at work you can do from your laptop
in the field.
We can provide
you with a secure, reliable, and affordable remote access solution
that is fully integrated with internal computer systems.

If you are
in business, you would probably benefit from having a Web site.
Even if you are not interested in e-commerce, a Web site can be
the electronic version of a brochure for your business. A well
designed Web site can greatly enhance a company’s image, however,
if a Web site is poorly designed, difficult to navigate, or does
not provide any meaningful information, it is a waste of time
and money.
There are
lots of inexpensive software packages available that can turn
almost anyone into a do-it-yourself Web page developer, and many
companies are opting to develop their own Web sites. There are,
however, several important issues that a software package and/or
a non-professional Web designer may not be able to address:
- Will your
Web pages look good on both Mac’s and PC’s? Will they look good
on Internet Explorer or Netscape Navigator. What about different
versions of the same browser?
- How fast
can people download your Web pages? Do you know how to optimize
a Web page for fast access?
- Is your
Web site registered correctly with all the major search engines?
Will people be able to find your Web site?
Whether you
are creating a new Web site or updating your existing one, we
can help ensure that your Web pages are well designed, look good
on a wide variety of computers and browsers, and positively represent
your company on the Internet.

PropHeads
does not sell hardware or software. There are already plenty of
companies that provide excellent products at very competitive
prices. What we offer is great advice without any bias or conflict
of interest.
Should you
buy a bargain basement brand or a top of the line system from
a major manufacturer? How much RAM do you really need? How big
a hard drive should you get? How fast is fast enough? It’s easy
to spend too much money on computers, or skimp too much and end
up with an obsolete system in a matter of months. We can assess
your needs and provide you with good advise that will allow you
to make intelligent investments in computer technology.
We can install
your chosen hardware or software, and provide repair and/or restoration
services for your hardware and software components. You don't
need to disconnect your equipment or ship it; we come to your
Orange County location. We gladly arrange maintenance and support
contracts/agreements to suit your needs.

Everybody
knows they should backup their computers. Everybody knows that
computer viruses are out there. Few people are really prepared
for a disaster. Let’s face it, no one wants to spend money on
something they hope they will never need to use. Buying insurance,
fire extinguishers, and first-aid kits isn’t enjoyable, but most
of us have those protections. Why should your computer systems
be any different?
How valuable
is the information you keep on your computers? Can you afford
to permanently loose the information stored on your computer?
If not, how long could you afford to be without the data on your
computer? Even for those of us who back up our computers and have
anti-virus software installed there are tremendous risks. Do you
know for a fact that your backup tapes are any good? Have you
ever tested your backup system and made certain you can restore
your data? How long has it been since you updated your anti-virus
software? Will your anti-virus software protect you against the
most recent viruses?
Backup systems
are not just for that big crisis where you loose everything. A
good backup system should be able to recover a single file that
someone accidentally deleted yesterday.
We can work
with you to implement highly effective backup systems and anti-virus
solutions that will protect your data and your systems. We can
help you create a disaster recovery plan and give you realistic
expectations about what will happen when a you loose data, or
when a disaster strikes.
